About Contacts & Extranet Accounts

Clicking the PROFILE button and then Contacts will show a list of all the contacts associated with your company. These contacts are NOT displayed on our website. 

You should add contacts who you think the GMCVB would find helpful in having, who would like to receive communications from us, or who require Extranet access. Adding a contact does not automatically opt them in to receiving emails from us, and it also does not automatically give them Extranet access. This section will show you how to do both.

Adding & Editing Contacts

After clicking the PROFILE button and selecting Contacts, you will be presented with a list of all the contacts associated with your business. On this page you can Add (Add Contact button), Update (pencil icon button), View (Eye button), or Clone/Duplicate (Double Paper button) a contact, as long as you have the corresponding Extranet permissions set.

Remember that search results may span over several pages, and you can click through the pages using the arrows at the top and bottom of the grid. Clicking on column headers will sort them A-Z or Z-A.

Before continuing, please review the options for ordering, filtering and customizing columns in the Appendix. Use the cog wheel icon on the right of the grid to choose additional columns that you’d like to see in the grid, the filters you’d like to see at the top of the page, and the order in which you’d like to see the columns in the grid. 

Here are a few tips for adding or editing contacts:

  • It is not possible to delete contacts, you can only set them to Inactive. To do this, update your selection in the Contact Type field on the contact record, then click Save. Please note that Primary can be thought of as “active.” Primary contact types do not have special privileges or access.
  • If a contact has left your company and their position has been filled with a new employee, please DO NOT overwrite the previous employees’ contact information. Instead, set the old contact as “inactive” and create a new contact for the new employee.
  • You should add contacts who you think the GMCVB would find helpful having, who would like to receive communications from us, who are Sales RFP Catchers/Contacts, or fulfill other roles defined in Permissions (more to come on this topic).
E-Mail Opt-In

As soon as a contact record is added and you select the Send Email option, they will begin to be included in GMCVB communications like RFP notifications (if they are an RFP Catcher), events and opportunities. If a contact does not wish to receive email communications from the GMCVB, simply select No for the Send Email preference. Please note that if you are adding an RFP Catcher or Contact, you must select Yes for the Send Email preference, otherwise these contacts will not receive e-mail notifications.

Security Permissions

Adding a contact does not automatically give them access to the Extranet. In order to provide access, you must also assign the proper Permissions in the Security/Permissions area. After you create or edit a contact and click Save, you’ll be taken back to the Contact Details screen, where you’ll see the contact information you just entered. Scroll to the Security/Permissions section and make your selections. If the contact has access to more than one company, you’ll see the same permission for each company. Each contact must have the Extranet Access Enabled permission, in addition to the other permissions. If this is the first time you are assigning permissions to a contact, they will receive a welcome email with login instructions. If they don’t receive the email, they can use the email address on their record and the Forgot Password link on the login page.
